1. About this policy

This Privacy Policy explains how W1N W1N Pty Ltd (ABN 44 153 942 968) (W1N W1N, we, us or our) collects, holds, uses, discloses and protects personal information.

W1N W1N is based in Perth, Western Australia. This policy applies to all W1N W1N websites, subdomains, forms, funnels, portals, memberships, communities, consultations, resume services, career programs, courses, video-resume services, migration-consultation referrals, social-media accounts and other products and services, including:

This policy is intended to reflect the Privacy Act 1988 (Cth) and the Australian Privacy Principles where they apply, and the Privacy Act 2020 (New Zealand) where it applies. W1N W1N uses these principles as its privacy baseline even where a particular small-business exemption may apply. If another applicable law gives an individual greater privacy protection, we will apply that higher requirement.

Our services are for people aged 18 years and over. We do not knowingly accept clients under 18.

W1N W1N has appointed a Privacy Officer who is responsible for privacy enquiries, access and correction requests, complaints and privacy incidents.

3. Personal information we collect

Depending on how you interact with us, we may collect the following kinds of personal information.

Contact and account information

  • name;

  • email address and telephone number;

  • general location, State and country of residence;

  • social-media or community username;

  • account, membership and communication preferences; and

  • confirmation that you are at least 18.

Career and service information

  • work history, duties, skills and career achievements;

  • education, qualifications, licences, tickets and certificates described by you;

  • work-rights status, without collecting copies of passports or visas;

  • target occupations, preferred work locations and career goals;

  • job-search activity and progress that you choose to report to us;

  • information required to prepare a resume, cover letter, SEEK content, LinkedIn content, interview preparation or other requested career materials;

  • referee details you are authorised to provide;

  • drafts, feedback, approvals and final documents; and

  • information you provide during courses, coaching, community discussions and support enquiries.

Calls, recordings and communications

  • emails, text messages, social-media messages, community posts and other correspondence;

  • notes from consultations and support calls;

  • audio or video recordings of resume calls, consultations, Zoom sessions or other calls, but only after we tell you that recording will occur and obtain your agreement before recording begins; and

  • complaints, feedback and records of how we responded.

If you do not want a call recorded, tell us before the recording begins so we can discuss whether an alternative is available.

Video resumes, testimonials and public content

  • video-resume scripts, recordings and edited files;

  • photographs, videos, written testimonials, reviews and success stories; and

  • introductory posts or other content you ask us to repost.

We only publish, repost or promote identifiable client content with separate, express permission. Permission to provide a service is not treated as permission to publish your information.

Payments and transactions

  • products or services purchased;

  • payment amount, date and status;

  • invoice, refund and transaction information;

  • Stripe customer, order or transaction identifiers; and

  • information needed for accounting, taxation, fraud prevention and dispute management.

All card payments are completed by the client through Stripe. W1N W1N staff do not take card details by telephone, email or message, and we do not receive or store full card numbers, card security codes or online-banking credentials.

Website and technical information

Depending on how our websites and connected platforms are configured, we may collect:

  • IP address;

  • browser, device and operating-system information;

  • pages viewed, links selected, referring pages and approximate location derived from an IP address;

  • form submissions and conversion events; and

  • cookie, analytics and advertising identifiers.

4. Information we do not request

W1N W1N does not request or retain copies of passports, driver licences, visas, police clearances, medical records or other identity documents as part of its ordinary career and resume services.

We do not ask clients to disclose details of injuries, workers’ compensation history, criminal history or medical conditions through our ordinary application process. Our mining medical and police-check information is general education only and is not an assessment of an individual’s health, fitness or criminal history.

Do not upload or send identity documents, medical records, police records, financial-account credentials or other unnecessary sensitive information. If such material is sent accidentally and we do not lawfully need it, we will delete it as soon as reasonably practicable.

If we ever need to collect sensitive information for a lawful and necessary purpose, we will explain why and obtain express consent where required.

W1N W1N does not upload identifiable client resumes, call recordings, transcripts or client files to public generative-AI tools such as ChatGPT or Claude to provide its services.

  • use our website or complete a form;

  • make an enquiry or purchase;

  • book or attend a consultation;

  • participate in a recorded call or Zoom session;

  • join a membership, course or community;

  • communicate with us by phone, email, SMS, social media or community message;

  • supply career information, documents, video or feedback; or

  • give us permission to publish a testimonial, success story or social-media post.

We may also receive limited information from payment, website, communications, accounting, scheduling, referral or social-media platforms used in providing our services.

If we receive personal information about you from another person, including through a referral, we will take reasonable steps to notify you where required. If you give us another person’s information, such as a referee’s details, you must be authorised to do so and must not provide more information than is reasonably necessary.

6. Why we collect and use personal information

We may collect and use personal information to:

  • respond to enquiries and determine which service has been requested;

  • verify age and the basic eligibility criteria for a service;

  • process purchases, payments, refunds and invoices;

  • schedule and deliver consultations, resume services, career programs, courses, memberships and support;

  • prepare, revise and deliver resumes, cover letters, SEEK and LinkedIn content, video resumes and other requested materials;

  • track service delivery, client approvals and program progress;

  • administer online accounts, communities, courses and live sessions;

  • provide customer support and accountability check-ins;

  • refer an eligible migration-consultation purchaser to the registered migration provider described in section 9;

  • send operational and service-related communications;

  • send marketing where we have consent or are otherwise permitted by law;

  • publish or repost client content where separate express permission has been given;

  • understand website use and measure service and advertising performance;

  • improve our services, content, security and business processes;

  • prevent fraud, misuse, unauthorised access and other unlawful activity;

  • respond to complaints and resolve disputes; and

  • comply with taxation, accounting, regulatory, legal and court requirements.

We do not sell, rent or trade personal information. We do not send a client’s resume, video resume, contact details or other personal information directly to an employer, recruiter or training provider.

7. Recorded calls and sessions

We may record resume calls, consultations, coaching calls or Zoom sessions to accurately prepare client materials, document instructions, provide the requested service and resolve questions or disputes.

Before recording begins, we tell participants that the call or session will be recorded and obtain their agreement. Access is limited to authorised personnel who need the recording for their role.

Recordings are generally retained for two years unless a longer period is reasonably required for an unresolved complaint, dispute, legal obligation or legal claim.

8. Who may receive or access personal information

We may disclose or make personal information available only where reasonably necessary to the following recipients.

Authorised W1N W1N personnel

Authorised employees and contractors in Australia, including Queensland and Western Australia, and authorised personnel in the Philippines may access the limited information needed to perform their role. This can include contact details, career information supplied by the client, call recordings, service notes and product or purchase information.

Philippine personnel do not have access to clients’ full card or bank details, and do not have access to W1N W1N’s Stripe payment dashboard. Access is role-based and subject to individual logins, multi-factor authentication, confidentiality obligations and restrictions against downloading or storing client files on personal devices.

Technology and professional service providers

We use service providers for customer management, communications, payment processing, accounting, file storage, workflow automation, video calls, video hosting, website operation, analytics, marketing and professional advice. Depending on the service and your interaction with us, these providers may include:

  • GoHighLevel;

  • Stripe;

  • Xero;

  • Google Drive and Google Business Profile;

  • Slack;

  • Zapier;

  • Zoom;

  • YouTube;

  • Meta, including Facebook and Instagram;

  • LinkedIn;

  • TikTok; and

  • website hosting, analytics, legal, accounting, insurance and information-security providers.

These providers may collect or process information under their own privacy policies as well as under their agreements with us.

SEEK and other external job platforms are generally accessed by clients through their own accounts. W1N W1N may provide an ordinary search-results link, but does not submit applications or disclose client information to SEEK on a client’s behalf.

Legal and regulatory disclosures

We may disclose information to courts, regulators, law-enforcement bodies, government agencies, insurers, legal advisers, accountants or other professional advisers where authorised or required by law, or where reasonably necessary to establish, exercise or defend legal rights.

Publication authorised by the client

If you give separate express permission, information may be published to the audience and platform described in that permission. Public posts can be copied, reshared, indexed or stored by other people and platforms. We cannot guarantee deletion of copies controlled by third parties after lawful publication.

9. Migration-consultation referrals

W1N W1N does not provide migration, immigration or visa advice.

When a client purchases a migration consultation through a W1N W1N funnel, W1N W1N processes the purchase and transfers the contact, booking and transaction information reasonably required to deliver the consultation to:

4A Consulting Services Pty Ltd is an independent service provider and is responsible for the migration advice it provides and for the personal information it collects after referral. W1N W1N does not receive or retain the client’s migration documents or the substantive migration advice provided by 4A Consulting Services Pty Ltd.

W1N W1N may receive a disclosed affiliate or referral fee under its commercial arrangement with 4A Consulting Services Pty Ltd. This does not authorise W1N W1N to provide migration advice.
